The Renewals module within Zone Advanced Billing provides functionality to support a multitude of renewal scenarios. This subset of records and functions allows users to manage customer renewals according to their business practices - whether that means renewing certain Customers and Subscriptions one by one, or allowing batches of Subscriptions and/or Subscription Items to renew automatically.
Through settings on ZAB Renewal records and NetSuite Item records, users can manage when and how specific Items renew.
Reasons For Using the Renewals Module
- The Renewals module bypasses the need to go back through Sales or a CRM each time a Customer renews
- ZAB Renewals are especially useful if NetSuite is the only system of record for Customer Contracts
- Renewal Items allow Customers to renew with a different Item than what was originally sold
- ZAB Renewals offer multiple ways to apply different pricing or policies upon renewal
- Renewal Records and Estimates can provide a more accurate forecast of your renewal pipeline
- Additional logic can be applied when Contracts renew or roll over; selling different Items, pricing, policies, or other contract changes
Before you begin
In order to generate renewable Subscriptions and Subscription Items:
- The Subscription must have a Renewal Template assigned, which is often populated through ZAB Preferences Defaults
- The Subscription Item must have a Renewal Item listed, which can be assigned as an Item default
Keep in mind
- A Renewal Item Start Date comes after the End Date of the original Subscription Item.
- For example, if the original Subscription Item’s End Date is 12/31/2020, the Renewal Item’s Start Date is 01/01/2021. This is important to keep in mind to avoid confusion and unwanted Renewal outcomes (especially ones that pertain to Renewal Template Combination Options)
- One or more Subscriptions may flow into a single Renewal
- Depending on a number of factors, including but not limited to: the Renewal Template selected on the Subscription and the Template’s Renewal Combination Options. Renewal Item Start Dates.
- One or more Estimates may be (and often are) created from a single Renewal
- Depending on a number of factors, including but not limited to: The desire to generate another Renewal Estimate when new information is captured on the Renewal record, the Renewal Template’s Renewal Combination Options, and Renewal Transaction Profile settings
- One or more Subscriptions may be created / updated by a single Renewal Estimate
- Depending on a number of factors, including but not limited to: Renewal Subscription Group used on the Renewal Template
