Primary Fields

• Name
• Start Date

Name

Name your Subscription Record. The Subscription name is not customer facing, which means that the name will not be exposed to a billable customer. The name only functions as a helpful way to search for the record.

• Sometimes the Subscription name is the customer’s contract number from another system or a concatenation of the customer’s name and contract number (example: ABC Company_20180820). Ideally it is a name that a user can easily search for through the Global Search Bar.

Identification Number

This is an optional field that can be used to identify the Subscription. This may often be a Contract # or External ID associated with an external system (i.e. Salesforce or a proprietary system).

Start Date

Enter a Start Date (required).

End Date

Enter an End Date. Note: The End Date is required even if the Subscription is evergreen. A Subscription needs an End Date to know how far into the future we want to project this information (for Evergreen, this will get extended because a Subscription cannot load an infinite amount of Charges).

Charge Schedule

Select a Charge Schedule for your Subscription. The selected Charge Schedule can be overwritten at the Subscription Item level if needed. Learn more about Charge Schedules here.

Inherit Charge Schedule From Master Contract

If you select this option, the Charge Schedule set at the Master Contract level will be leveraged as the default Charge Schedule for this Subscription, as long as the individual Subscription Item(s) don't have their own independent Charge Schedule selected.

Additional Fields: Values supplied by a Saved Search

There are a number of fields on the Subscription that are sourced from Saved Searches based on the Charge record. They provide a snapshot of Charges that have been billed, are pending billing, and will be billed in the near future.

The Saved Searches that provide information to these fields can be found under Lists > Searches > Saved Searches.

Amount billed

A Saved Search supplies a value to this field. Charges that have been billed under this Subscription will display here.

Amount Pending Billing

A Saved Search supplies a value to this field. The search will sum the total amount of Charges that have not been billed from previous periods to current day. The Search is built on a Charge record and will filter by the following criteria:

• Transaction
• Review all billed, pending billing and partially rated Charges for past periods up to today
• Past periods that have not been billed on or before today

Future Billing

A Saved Search supplies a value to this field. This Search will assess the current charge period and anything that has been rated or partially rated.

• Will sum the total amount of Charges that have not been billed
• Only Bill Dates after the current date will be captured

Amount Forecast

A Saved Search supplies a value to this field. The Search will sum the Forecasted Value of the Charges. The search is built on a Charge Record and will filter by the following criteria:-

• Transaction
• Is forecast

Current Plan

This field allows you to add a ZAB Plan, a template of Subscription Items, to your Subscription. Learn more about ZAB Plans here.

New Plan Effective Date

Enter the date the Plan assigned should take effect on. If left blank, the Plan will default to ‘today’ and the newly-created Subscription Items will use ‘today’ as the Start Date.

 

Create Transaction Button

The Subscription’s Create Transaction button will redirect users to the Create Transaction Suitelet with filters pre-filled for that specific Subscription and all available Bill Dates selected.

 

Charges, Minimums subtab

This subtab displays Charges from all associated Subscription Items. Optionally set a minimum commitment amount at the Item or Master contract level.

 

Usage Detail Subtab

This subtab displays Usage Data tied to this Subscription. Usage records related to specific Subscription Items are viewable on the Subscription Item’s Usage Detail subtab.

 

Preferences Subtab

Currency

Leave the ‘Currency’ field blank to default to the Bill To Customer’s ‘Primary Currency’, or set to one of the Customer’s supported Currencies. If the Currency selected is unavailable to the Customer, an error message will display.

For example, if the Subscription ‘Currency’ field is set to CAD but the Bill To Customer on the Subscription only supports USD, an error message will display upon save of the Subscription.

• A Subscription can only live in one Currency
• If you have a customer that transacts in multiple currencies, you must create multiple Subscriptions, one for each Currency.

Subsidiary

By default this will populate with the Customer’s primary Subsidiary. Enter the Subsidiary (if any) that should be associated with this Subscription. The Subsidiary should be compatible with the Customer selected.

A value entered here may prevent certain users from seeing this record if their Role does not give them access to this Subsidiary.

Payment Terms

Enter the default Payment Terms you would like to use for Transactions created by this Subscription. This is an optional field and if left blank the Payment Terms listed on an associated Billing Profile or the default Payment Terms for the Bill To Entity will be used.

Transaction Type

This value indicates which type of NetSuite transaction should be generated when Charges for this Subscription are billed. If no value is selected, then the configured Transaction Type on ZAB Preferences will take priority unless a Billing Profile or Subscription Item has been assigned with further Transaction Type preferences. NOTE: Cash Sales are currently unsupported by ZAB Revenue functionality. Please ensure that Sales Order or Invoice is selected for ZAB Revenue contracts.

Bill To Customer

If a different Bill to Customer is selected, the Bill To Customer must support the Currency selected on the Subscription. If the ‘Currency’ field is blank, the Currency defaults to the ‘Primary Currency’ of the Bill To Customer on the Subscription.

An error message will display if Subscription Currency is not supported for the Bill to Customer.
